{% hint style="info" %}
**CRM 2013 and CRM 2015:** When we create a solution, we use the vanilla box of CRM. After importing Maplytics solution, all entity level properties of Account/Contact/Lead are overridden. So after installation, you have to set those properties manually. The example would be auditing, if you have turned on the auditing then it will turn off after importing Maplytics solution. So you have to turn it on manually.

**CRM 2016 and above:** Entity-level properties will remain the same as before importing the solution.

# Prerequisites

Once you have completed the installation, activation and configuration, the last step you need to do in order to get Maplytics started is the geocoding. In order to plot the records, it's necessary that the records are geocoded i.e. the records have the values for geocoordinates (Latitude and Longitude).

You can geocode the records with either Batch Processing Tool or the Geocoding Workflow:

**Batch processing tool:**

You can get the Batch Processing Tool within the Maplytics Solution's zip folder downloaded from the website. Extract the zip folder to get the Batch processing tool. Please refer to the [batch processing section](https://docs.maplytics.com/features/batch-processing-tool) to know how to use the Batch processing tool.

**Geocoding workflow:**&#x20;

You can also select the required records and run the Geocoding workflow. By default, the geocoding workflow will be available for Accounts, Contacts and Leads. For custom entities, you need to create a geocoding workflow. Please refer to the [configure geocoding workflows](https://docs.maplytics.com/features/workflows/configure-geocoding-workflows-for-custom-entities) section to know how to create a workflow and run a workflow on selected records.

Once you have completed all of the steps mentioned above, you are ready to use Maplytics. You can go to any entity and use the two buttons: Detail map and Heat map, to start visualizing data on maps.

# Setup Entity Map

Maplytics entity map is defined differently for different entities. We can classify the entities in CRM as an activity type and non-activity type. Please see the below mentioned description for the same:

* **Non-Activity Type Entity:** For these types of entities, there are two ways to build the entity map.<br>

  1. **An entity with its own address attribute:** We take the address information from the field attributes defined in ‘Attribute Mapping’ section. Examples of these types of entities are; Accounts, Leads, Contact, etc.
  2. **An entity without own address attribute:** These are linked entities like an opportunity, case, etc. that do not have their own address but are linked to account or contact. Please use ***‘Link To’*** field while defining an entity map for these kinds of entities.

* ***Activity Type Entity:*** As OOB Activity type of entities, generally do not have their address of their own, we have provided the respective entity maps which helps to plot the entity records based on the default value “regarding” provided for the field ‘Link To’. As due to the regarding id the addresses can be fetched from multiple entities, we have made the section of attribute mapping section for addresses unavailable by default. Examples of these types of entities are; Appointment, Task, etc. \
  \
  For such entities, there are further two ways to build the entity map:<br>
  1. **An entity with own address attribute:** If an Activity entity has its own address on the basis of which the records are needed to be plotted, the user can remove the default value provided for the field ‘Link To’. This will make the ‘attribute mapping’ section for addresses available, into which the user can provide the address fields of the Activity entity. We take the address information from the field attributes defined in ***‘Attribute Mapping’*** section to plot the records on the map.
  2. **An entity without own address attribute:** If the Activity entity do not have their own address but are linked to any other entity, please use ‘Link To’ field while defining entity map to get the records plotted with the linked entity addresses.

To plot Map for any entity, first you have to create the entity map for that entity. Navigate to **Settings > Entity Maps > New**

{% hint style="success" %}
For any queries, reach out to us at <crm@inogic.com>
{% endhint %}

# General

# Setup Dashboard Details

\
Users can define their own Dashboard views for Maplytics and include them as web resources in standard Dynamics CRM Dashboards.

Navigate to **Settings ->Dashboard Details ->New.**

![](/files/-Mbeu8Mr9Y1c2Z1dfu4V)

**Name**: Unique name for the Dashboard. The user will use this name to define the view to be included in the Dashboard.

**Entity Name:** logicalname of the entity. Name of entity for which the view is to be configured. For example, **‘lead’**.

**Query:** FetchXML query to be executed for the view to be plotted on the Map. The user can create a query using Advanced Find and download generated FetchXML. Open this FetchXML in a notepad and set it here.

{% hint style="info" %}
**Note:**· &#x20;

* **Make sure to include the latitude & longitude field attribute (address1\_latitude & address1\_longitude) in the query for the map to be able to read the geocoding information and plotting the map.**   &#x20;
* **If the user needs to create the fields for Latitude and Longitude, it should of data type: ‘Floating Point Number’ with precision set to 5. Add minimum to maximum range of fields respectively Latitude (+90 to -90), Longitude (-180 to +180).**       &#x20;
* &#x20;**Open the downloaded FetchXML in Notepad before pasting it in Query field.**

{% endhint %}

In the queries, when the address data needs to be read from the customer (i.e., it could either hold an account or contact lookup) you need to provide the alias as ‘maplyticsacc’ when a link to a potential customer (account). For contact give alias as ‘maplyticscont’ when a link to a potential customer (contact) or If the address data needs to be read from another OOB or custom entities then you need to provide the alias as “map”.

**Mode:** Choose the default mode in which the map should be presented. Choices available are **Aerial, Road.**

**Show Route:** This option is available when you choose **‘Detail Map’** option in the Map Type. This provides a shortcut button on the Dashboard to quickly create the route. The user can build a route for maximum 25 waypoints.

**Category**: The logical name of the attribute to be used for categorization of the result set. Each unique value of the category would be plotted in a different color. This attribute should be present in the query.

**Entity Category:** Lookup of the entity category record if the user wishes to use the pre-defined colors for the categories.

**Map Type**: Decide if the user would like a Detail Map representation or a Heat Map representation of the result set.

If the user selects Heat Map in Map Type then the following options will appear on the Dashboard record:

**Heat Map Type:** The user can define Heat Map type as described below;            &#x20;

* **No Boundary:** It creates a Heat Map on the basis of the density of the measure selected without geographical boundaries.
* **Boundary:** This will create Heat Map on the basis of the selected region type like City, Postal Code, Country, State, etc.
* **Pie Chart:** This will show a heat map with Pie charts plotted on the charts based on the heat of the attribute selected in the Measure and Filter.
* **Column chart**: the data in the form of column charts plotted on the basis of the heat of the attribute selected in the Measure and Filter.
* **Summary Grouping:** This field is used when the Map type is Heat Map. This helps the user to define the geographical summary criteria. The list contains following options; City, State, County, Country, Postal Code, Postal Code Areas, and Territory. &#x20;
* **Measure**:  This field is also used for Heat Map. This helps the user to define the color scale of the Heat Map. For example, if the user wants to see the Heat Map on the basis of annual revenue, then please write the logical name of the same in this field. Higher the value, denser will be the map in that region.&#x20;

### **Attribute Mapping:**

In the attribute mapping tab, enter the attribute logical names of all the address fields to be used to plot the map. If the link to attribute is specified, then the address attribute should be of that linked entity. This is a case-sensitive field; the user needs to write the exact logical name without any mistake. It supports string, lookup and picklist values.

#### **Tooltip Attribute**:&#x20;

{% hint style="info" %}
**Note: Before the ToolTip Mapping configuration, fill up all data and click on save button**&#x20;
{% endhint %}

To configure the tooltip, Maplytics have provided the Tooltip mapping UI. Maplytics will populate the public views of an entity that the user has specified in the Entity Name. The user can select a view from **‘Select a view’** dropdown. As the user selects a view, Maplytics will populate the fields (columns) that have been defined for that view in the ‘**Available Fields’**.

Follow the below-mentioned steps to complete this configuration;

![](/files/-MbetyEAzQZFQdvOvG5l)

1\. Select the view for selecting the fields to be displayed for Tooltip. For Example, select Open Leads view from **‘Select View’** drop-down;

{% hint style="info" %}
**Note: To add more columns in ‘Available Fields’ section of a particular view; go to Setting > Customize the System > Select the required Entity and View > Add more columns and Publish all the changes.** &#x20;
{% endhint %}

2\. Select the attribute to add, after selecting any attribute the display name of the attribute is automatically shown on the Label, the user can change that label as per their choice. Then click on **forward arrow(>>)** button to add an attribute to the Selected Fields.

3\. After configuring the attributes, click on the **Save** button.

### **Advance Settings**:

![](/files/-Mbetr2iZaGvWFlaZhU_)

In this section, the user can configure the Hover Attributes and Heat Map Measure Color Scale for the dashboard. User can define the attribute that should be visible for a quick glance when you hover over a particular pin on the map. The user can also configure the Heat Map Measure color scale (Low, Medium and High).

Refresh the page. On the Preview tab, a pushpin will be displayed, and the Configure attribute for tooltip will be displayed after clicking on the pushpin. See below screenshot;

# Individual Record Map

A tab to display an Individual Map section is present by default on the Account, Contact, and Lead records as part of the Maplytics solution.

<figure><img src="/files/4WRkHd1PQGnsa7b3S9mG" alt=""><figcaption></figcaption></figure>

Here, two types of pushpins are plotted on the map:

**The other pushpin:** They indicate the record's location on the map. This pushpin can be moved on the map. If the user is not satisfied with the automatic geocoding information stored for the record, they can click on the pushpin and drag it around to the required location on the map. As the user moves the pushpin, the geocoding information (*Latitude* and *Longitude*) and the addresses are updated in the bar at the top. Use the Save button to save the updated geocoding information. It will ask the user whether they would like to update only the Latitude & Longitude values or the address as well. They can select the required option. This will help the user to geocode the address as per the requirement.

<figure><img src="/files/zDxHqke59UtQPn9iGfq8" alt=""><figcaption></figcaption></figure>

Set the *‘Geocode Records’* option to *‘No’* in the top panel if the user wants to manually set the geocoding information and does not want the automation to override the geocoding information.

**Address:** If users want to modify the geocoding for any record, they can click in the *Address text* box.

<figure><img src="/files/oiRJ9bsMI2anBRqKBfuu" alt=""><figcaption></figcaption></figure>

After that, they can click on the ‘Save’ button to update the address and Latitude & Longitude values. It will ask the user whether they would like to update only the Latitude & Longitude values or the address as well. They can select the required option. Apart from this, users can also click on the pushpin, drag it around to the required location, and then click on update/save to update the address and/or latitude and longitude values.

<figure><img src="/files/6KXUEcchFvCnwDDwgFuM" alt=""><figcaption></figcaption></figure>

{% hint style="info" %}
***Note: Users can be restricted to update the address and Latitude & Longitude values by assigning them a security template where ‘Allow Push Pin Update’ is not selected. Please refer to the Maplytics Security template in this User manual to know more about the same.***&#x20;
{% endhint %}

Users can use the Address Auto Suggest Control to get a list of suggested addresses from the provided prompt in any of the 10+ languages Maplytics is available in. By default, CRM's system language becomes the language of the addresses. This can be changed as per the users’ preference.

To set up the auto-suggest control, follow the following configuration steps.

Log in to the Microsoft Power Apps environment.

<figure><img src="/files/EDqOP43ednOmPawd2aFO" alt=""><figcaption></figcaption></figure>

If the auto-suggest control is to be added for the ‘Account’ entity, follow **Tables tab on the left >> Account >> Forms (in Data Experiences) >> Account (mail form)**

<figure><img src="/files/9mgm0By0MXQHSRrw05KH" alt=""><figcaption></figcaption></figure>

Within the Map tab in the New Account table, the required address columns need to be mapped to store the address details. Create and Save a table column named AutoAddress and SelectLanguage.

<figure><img src="/files/L4Mk5GUfh2FKmflZEyAC" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/sR9VFbDtl323pqEf55n9" alt=""><figcaption></figcaption></figure>

Drag and Drop the new columns on the New Account form and Save & Publish the addition.

<figure><img src="/files/lI4flhQ9Pd4V60YocR3D" alt=""><figcaption></figcaption></figure>

Map the newly created components with the entity fields, i.e.,

Street Table Column : Address 1: Street 1 (Text)

Country/Region : Address 1: Country/Region (Text)

Language : SelectLanguage (Text) and so on

Done, Save & Publish

<figure><img src="/files/kwC8t1RIbbm4jH6iDYcT" alt=""><figcaption></figcaption></figure>

Once the configuration is done, the application can be checked on any Account’s Individual map. Select a language of your choice and watch the addresses being suggested in that language. Suppose the Language is set to Arabic; the address suggestions would look as follows.

<figure><img src="/files/yTzcNvbxAClVWfnYpFnQ" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/8xjmMOkgawJSPKbaFuQW" alt=""><figcaption></figcaption></figure>

Adding an international language code for French, in the SelectLanguage column, 1036, will present the addresses in French. Whereas the country code for Germany ‘de’ would offer addresses in German.

<figure><img src="/files/Ctbe7mlYgkUMivZCTOXX" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/CJyVvKx6duw821IFHwcs" alt=""><figcaption></figcaption></figure>

This auto-suggest control helps its users change languages using the option set, lookup, and single option.

* **Map My Current Location:** Clicking on the ‘Locate Me’ button, the user is asked to allow their current location to be plotted on the map. Once allowed, the user’s current location is plotted with a blue pushpin, while the orange one remains as is.

<figure><img src="/files/Eh3n4OxcOG0EFKzwMsOn" alt=""><figcaption></figcaption></figure>

Clicking the current location provides an option to Set Address. Set Address helps populate the address of the current location into the text box. Similarly, the Latitude and Longitude of this location are populated in the respective fields in the bar above. On clicking the Update/Save button and confirming the address, the address, latitude, and longitude get updated successfully for the record.

<figure><img src="/files/0PDdBanIfMczZkFKsveY" alt=""><figcaption></figcaption></figure>

The Map My Current Location function is available for the Detail Map as well. Using this functionality, the user can view the travel distance from the Current Location and the User’s Location and plan the travel accordingly.

* **Deactivate:** On deactivating a record by selecting the option, all the fields from CRM and on the Individual Map for that record get deactivated.
* **Related Record Pushpin:** The user can use the ‘Relations’ drop-down to select the available relationships for this Entity. Related records correspond to all 1:N relationships between the plotted Entity. The user can further see related record information by clicking or hovering on it. The required attributes, like Email Address, Phone Number, etc., can be selected within the entity map to be seen on hover or click. At a maximum, a user can view 5 relationships at once. Default relationships can also be selected, which will be plotted by default whenever this map is loaded. At a maximum, a user can select five Default relationships. Check the Entity Map settings (refer to the Installation Manual) to set the default relationship and add more relationships to the *‘Relations’* dropdown. In the image below, one relationship is plotted for the account.

# Advanced Area Of Service

The advanced feature of Area Of Service enables users to determine an area in which services are being offered. It also helps in visualizing the records that lie in that area.

In the case of a Doctor, the Area Of Service helps in determining the region in which the doctor is operating or offering his services. Patient records falling under this service region can also be visualized. Similarly, from a Patient’s POV, he can visualize all the doctors that offer services or whose services fall in his area. This helps the patient in selecting the nearest available doctor and the doctor can check the patients falling in his area of work.

# Attribute Mapping of Service Area

Before we start using the advanced features of Area Of Service, the user needs to check the configuration as mentioned at the beginning of the feature.

Once the relationship is created, select the same in the respective Entity map. As per our example, the Maplytics admin or system admin needs to *go to Maplytics App > Settings (Left bottom) > Entity Maps > Accounts Entity map > Attributes Mapping > Geography relationship* *> Select the 1: N relationship of Geography and Account for Service Area Mapping*

<figure><img src="/files/8Un55jcTKAdP90lnUSAk" alt=""><figcaption></figcaption></figure>

To restrict access to creating and assigning of Service Area and saving Template as Service Of Area, the user can move to Settings>> Maplytics Security Templates>> Action Configuration

The user can then uncheck Service Area and Save Template- Service Area options to restrict the feature and the Template enabling them again when required.

<figure><img src="/files/Wfqof0eH8A7GAVC5mMto" alt=""><figcaption></figcaption></figure>

# Working of Area Of Service

Users can create Service Area in an Individual Detail Map by using 6 ways-

by File, by Proximity, by Region, by Drawing, by Territory & By Overlay. Let us consider by Proximity.

<figure><img src="/files/IyyL10RHM6vIuPZWFzDS" alt=""><figcaption></figcaption></figure>

After creating the shape, the user can select the shape using align tool & right-click over it to select the Area of Service option to assign Service Area for individual records.

<figure><img src="/files/xVwbFwzxS7ETdiBc82sg" alt=""><figcaption></figcaption></figure>

Once the area is assigned, the map can be refreshed to see the assigned Service Area for individual records.

Using the Area of Service template, the user can see the records that lie within the created Service Area. For example, doctors can see patients' records which are falling under their service region.

There are two ways to save the Area of Service template,

1\. Using the Area of Service tab, which is configured by the user,

<figure><img src="/files/4srVTzE2YcbV2TgA5gFo" alt=""><figcaption></figcaption></figure>

2. Using Plot cards either by location or by region on the individual map

<figure><img src="/files/oSgJ5fZXkFYHtLMhFPi7" alt=""><figcaption></figcaption></figure>

Plotting a Shape Layer on the created Service Area. This can be done by clicking on the ‘Show Region Boundary’ on the right

# Detail Map

Maplytics buttons are added to the Entity forms as well as the Entity Homepages so that it can be easily accessed from anywhere.

<figure><img src="/files/qFqIs3xVJbeaDiC90pQB" alt=""><figcaption></figcaption></figure>

Using this button, the user can invoke the Maplytics application for detailed geographical analysis. Maplytics provides the ‘Detail Map’ view of the Dynamics CRM data. This view can be easily accessed from the buttons added to the command bar in entity home pages and other views.

<figure><img src="/files/4M263TH0zQCoO06gcy29" alt=""><figcaption></figcaption></figure>

Selecting a few records and clicking on the ‘Detail Map’ button on a particular Entity Grid view will open the following window.

<figure><img src="/files/eNZH7yflS0CmOFpLKtD9" alt=""><figcaption></figcaption></figure>

It will automatically plot the selected records from the view on the map. **Records that do not have their latitude/ longitude will be ignored and will not be plotted on the Map.**

<mark style="color:blue;">**Map My Current Location**</mark>

<figure><img src="/files/64D26MkwixLud0fllXQM" alt=""><figcaption></figcaption></figure>

Clicking on the ‘Locate Me’ button, the user is asked to allow their current location to be plotted on the map. Once allowed, the user’s current location gets plotted with a pushpin.

# By Location

This helps the user to plot the data using the geocoding of each record. By Location search option also allows the user to perform Proximity/Radius Search based on Distance or Time.&#x20;

The Current Location is fetched from the user’s personalization record. The user can also set a new current location using the contextual menu. Refer to the section of the Contextual menu.

<div align="center" data-full-width="false"><figure><img src="/files/FeJFUEksB3gWyR2gQdwM" alt=""><figcaption></figcaption></figure></div>

The user can choose one of the views to plot all the records available in that view.

The ‘System Views’ listed here can be controlled through the Model-driven App Maplytics is opened in.

All the views created and published there are visible under Systems Views.

# By Drawing

This helps the user to plot data by defining their own shapes. The user can use the ‘Drawing tool bar’ to draw the following shapes:&#x20;

* Freehand drawing
* n-sided polygon
* Circle
* Rectangle

The user can further edit the drawn shapes by using the following options in the Drawing tool bar:

* Edit
* Erase
* Fill color
* Stroke color

<figure><img src="/files/Oxa77x7BJyTuXuIriYSe" alt=""><figcaption></figcaption></figure>

# By Territory

Using this ‘TM’ button, the user can connect to all the Territory Management features of Maplytics.

<figure><img src="/files/QCEkA3vU5gAxLwxluXNP" alt="" width="286"><figcaption></figcaption></figure>

This helps the user plot the data for a particular sales territory. The user can select multiple territories in the ‘Select Territory’ option and respective Datasource & view to plot the territories along with the records assigned to them.

<figure><img src="/files/ODaDKUrOFK09la7I2RBI" alt="" width="264"><figcaption></figcaption></figure>

![](/files/-MbR9J1KgTp2D7yBWVIb)

Users can also plot records from territories allotted to them and the territories that have been allotted to the territory managers who report to them, i.e. their team. They can use the ‘#My Territory#’ and ‘#My Team Territory#’ option for the same.     &#x20;

Consider Rocco is a territory manager with the Territory Growth Region allotted to him. Dustin & Robin are the other managers with territory Elite Region & Prime Region, who report to Rocco. When Rocco checks the My Territory option, his territory, Growth Region, gets plotted on the map with its records.

<figure><img src="/files/D8HF3pwXqis7eDcIhN1o" alt=""><figcaption></figcaption></figure>

When Rocco checks just the My Team Territory option, the territories of Dustin and Robin, Elite Region, and Prime Region get plotted on the map with their records.

<figure><img src="/files/nLEziMKZXiOeKgQLksDl" alt=""><figcaption></figcaption></figure>

However, when Rocco selects both My Territory and My Team Territory, his as well as Dustin and Robin’s territories, i.e., Growth Region, Elite Region, and Prime Region, all get plotted on the map along with the records from the 'All Accounts' entity.

<figure><img src="/files/dgeClHjjAYzm4cABcRrJ" alt=""><figcaption></figcaption></figure>

Similarly, if Dustin logs in and plots the territory records using these options, in My Territory, he would see Elite Region. He won’t see anything with the My Team Territory option as he doesn’t have any territory managers reporting to him allotted territories and records as well as he is not a member of any other territory.

The territories and records plotted above for Rocco can be saved as a template and added to the analytical Dashboard such that Rocco need not replot all the territories every time but can visualize them conveniently on the dashboard as a template.

# By Template

This helps the user to plot the predefined search criteria in the Detail Map. The user can save the search criteria as a template and use the ‘By Template’ search option to quickly plot the data with that search criteria. This helps the user to save a considerable amount of time.

<figure><img src="/files/cqXpCfQbRthB86ovd6KN" alt="" width="232"><figcaption></figcaption></figure>

For example, if any user is assigned a task where the requirement is to regularly plot ‘My Active Accounts’ records in 2 miles of a particular location and filter a particular Industry, then the By Template option can be beneficial.

The User can plot the required criteria on the map and use the button ‘Save template’ to save the search criteria along with the pushpins and their colors as a template and define the access level of the Template while saving the template as described below:

* Personal – The users can limit the usage of this template to themselves or share with other users or teams as required
* Public – Anyone in the organization can use this template

*Apart from saving the information of Plot Records, Category card, and filters from Grid, it also saves the Zoom level & Center of the map.*

Note: Please assign the ‘Maplytics User’ security role to Team Maplytics before exploring this functionality.· *Please assign the ‘Maplytics User’ security role to Team Maplytics before exploring this functionality.*

*If the user saves a template with Proximity search and current location as blank, while plotting the template, the current GPS location of the logged-in user will be fetched, and the results of the Proximity search will be plotted around the user’s current GPS location.*

# Default Template

User can set the Default Template within their respective Configuration Detail record and view the predefined search criteria saved in the template plotted by default on the Detail Map.

To set a template as Default, user need to **Go to the Maplytics App > Settings > Maplytics Configuration Details > Respective User Configuration Detail record > General > Default Template > Select required template.**&#x20;

![](/files/-MbRAJ8zwgfsy4HxefgD)

When clicked on the ‘Detail Map’ button, it will plot the default template selected in the respective user’s Maplytics configuration detail record by default on the map.

<figure><img src="/files/NVSN7DLDwu5zXac7frPE" alt=""><figcaption></figcaption></figure>

{% hint style="info" %}
***Default Template will not open if,***

* ***User selects a few records in Entity home grid and then clicks on Detail map button.***
* ***User expands a dashboard to open on Detail map.***
* ***User has saved Default template with search criteria other than By location/ Proximity Search and uses the ‘Map’ button on a specific record to open the map. In this case, the respective record will be plotted on map.***
* ***User has set Area of Service on a record and is using the ‘Map button’ on the record to open the map.***

* ***If Default template has been saved with search criteria By Location and the user uses the ‘Map’ button on a record to open the Map, in this case, the respective record will be plotted as the current location along with other records selected within the Default template.***
* ***If Default template has been saved with search criteria Proximity Search and the user uses the ‘Map’ button on a record to open the Map, in this case, the respective record will be plotted as the current location replacing the initial current location set in the template. Thus, the records will be plotted within the specified radius from the respective record’s the records will be plotted within the specified radius from the respective record’s location which is now the current location on the map.***

# Search Record

On the Detail Map, a search bar is available at the top right of the map. This helps in searching for locations or specific records plotted on the map.

<figure><img src="/files/K1WCbtA29VVcrEXLWAbg" alt=""><figcaption></figcaption></figure>

When records have not been plotted, a location/ address can be searched by adding a suitable prompt.

<figure><img src="/files/mcSPmNLVSvETCIfaU7HN" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/xPi8Dbrqdsc2TLYzZbgg" alt=""><figcaption></figcaption></figure>

As seen in the example above, a location has been searched and plotted on the map using the Search Bar.

Once the records have been plotted, this search bar can search for any specific record from the plotted ones using the primary attribute.

<figure><img src="/files/kZyEnD6UiAjX8SsoQNxB" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/8eu93kDwYVxvDlXrQwwa" alt=""><figcaption></figcaption></figure>

This search zooms the map to the area where the required record is plotted. The preferred pushpin blinks in quick succession to highlight its position from among the records.

<figure><img src="/files/9D0GPkbdmFbw6va64gb6" alt=""><figcaption></figcaption></figure>

Finding a particular record from among many becomes easy with this feature.

# Lasso Tool

The user can use this tool to select a bunch of records plotted on the map at once. The selected records will be bound in the data grid as checked and will be available to perform Actions such as, Add To Route, Save Data, Change Owner, Send Email, Export to Excel, Create Activities, and Execute Workflow.

# Multiple Categorization for Single Entity

Users can also plot a single entity records categorized by multiple attributes e.g. Account records categorized by Open revenue, Originating lead, Owner. The user can choose an entity twice or thrice with two or three different views respectively and choose required attributes for the respective views to categorize the same entity with different attributes. User can select a maximum of three attributes to categorize a single entity.

{% hint style="info" %}
***User can select a maximum of three attributes to categorize a single entity.***
{% endhint %}

<figure><img src="/files/hnXPzpZOEL7J9rUx7Yu6" alt="" width="376"><figcaption></figcaption></figure>

Case 1: Single Entity, Three Attributes

While plotting a single entity categorized by three attributes, three category cards will open up for the three attributes. For example, the screenshot below shows Accounts plotted on the map, which is categorized by three different attributes, viz. Annual Revenue, Zip code, and State, and three different cards have opened up for each of them.

<figure><img src="/files/8TibZnXQlsrrBJn4BLVj" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/SF30upwhZAzuzLZfXTCl" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/nMmCkQuBDqa8gq7vVBGF" alt="" width="196"><figcaption></figcaption></figure>

<figure><img src="/files/joy5eCaO1LlpXtFWkYlZ" alt="" width="258"><figcaption></figcaption></figure>

<figure><img src="/files/U6mkYJVCFNexDZR82FmF" alt="" width="201"><figcaption></figcaption></figure>

The category cards shown above state which category is represented by which pushpin. The categories are represented with three different parts of every single pushpin, star, pushpin, and pushpin shadow. All the above three icons combine to form a pushpin, which will represent the plotted records. Each of the three parts represents three different categories with different colors. For example, the category card ‘Account – Annual revenue’ shows that the icon represents the Account records that belong to different ranges of Annual revenue with different colors. The category card ‘Account-State shows that the icon represents the Account records that belong to different states with different colors, and the category card ‘Account-ZipCode shows that the icon represents the Account records that belong to different zip codes with different colors.

Case 2: Single Entity, Two Attributes

In case, the user has selected only two attributes to categorize the entity records, the map will display the categorized pushpins, and legend cards for each category which will appear on the left. Suppose the selected categories are Address- City and Industry, the search result would look as follows.

<figure><img src="/files/cdbHNuuw8ARkTQKQj8WZ" alt=""><figcaption></figcaption></figure>

The 1st selected category (in this case, Address- City) would have grey pushpins assigned to each City.

<figure><img src="/files/JuAUnGYnWd40xM6wRIYc" alt=""><figcaption></figcaption></figure>

The 2nd selected category (in this case Industry) would have different colors assigned to different industries.&#x20;

<figure><img src="/files/s98K6qMvPAVJgPFlmvI2" alt=""><figcaption></figcaption></figure>

If the Accounting Industry is present in New York City, the city pushpin shall be represented in the industry color.

If the user decides to concentrate only on a few Cities in the Address legend, he can deselect the others. Only the selected cities will be present on the map, and the pushpins for the others will vanish. If an industry is present in one of the deselected cities only, it too shall get deselected in the legend.

<figure><img src="/files/XDfpCzjwCCUZbs9aFYoN" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/d1X61E2qRn82604lbycQ" alt=""><figcaption></figcaption></figure>

Similarly, if the users concentrate on industries such as Accounting, Business Services, and Consulting, the pushpins of only those cities where these industries are present shall be active on the map.

<figure><img src="/files/C2CwxfgQzVuREgJwcYa7" alt=""><figcaption></figcaption></figure>

The plotting of categories follows the AND condition. This means that if the user deselects a category in one category card, then all the pushpins for records that belong to that category will be hidden from the map, even if any of the records belong to any other categories as well. For instance, if the user deselects the category of Annual revenue between 5000-10000, then all the pushpins for the records that belong to this category will be hidden from the map, even if any of these records belong to another category, like owner or industry.

In the screenshot below, three categories have been selected, viz. Annual Revenue, Industry, and Owner.

<figure><img src="/files/1nFKyucP5H0dKzfZjWp3" alt=""><figcaption></figcaption></figure>

In the screenshot below, only two categories have been selected, viz. Annual Revenue and Industry. The category card will now be displayed under the filter card.

# Data Grid in Detail Map

The Data Grid is available at the top right corner of the Detail map, which can be opened using the yellow button ‘List’. All plotted pushpins represent a unique record in Dynamics CRM, and the data grid helps users to access these records from the map screen, filter the data further, and perform some actions. Order of columns in the grid depends upon the Dynamics CRM View selected to plot the data, and in the case of Marketing Lists & Maplytics Dashboard records, it is the same as that of the Entity-View selected in Entity Map. The users can also customize the data columns to be visible in the grid by adding/removing columns from the Entity view.

<figure><img src="/files/JZ6DOFmLmbJ2bBBnrC8H" alt=""><figcaption></figcaption></figure>

**Filter & Sort Data:** The user can use the filter at the top of each column to further filter the data, selecting any condition and entering the corresponding value.

<figure><img src="/files/aLQb70RNuUlWHIZczicG" alt=""><figcaption></figcaption></figure>

The user can see the filter icon at the column header to understand which column the data has been filtered. Further, users can click any column header to sort the data and see the arrow icon at the column header to indicate which column the data has been sorted by. The user can deselect some of the records and see at the bottom the number of records selected from the list

<figure><img src="/files/fmwITwgdAXuBl09hpwsX" alt=""><figcaption></figcaption></figure>

**Reset:** This will reset the grid to the initial search.

**Resizable Data Grid:** The user can click once and drag to resize the data grid to the desired size.

# Mass Actions

The user has the option to take actions on the plotted records like adding to route or executing the workflow on selected records in the grid. Defined mass actions are as follows:

**Add To Route:** This option will add selected data points to the route. The user can add at max 25 data points to the route

**Save Data:** The selected records can be saved as static Marketing List or Personal View in Dynamics CRM

**Change Owner:** The user can assign the owner of the plotted records by selecting a user or a Team

**Send Email:** The user can send a mass email to the selected records. User can select any one the available email templates or a new email to write their own content. User can also choose to keep the recipient as To/Cc/Bcc in the email.

<figure><img src="/files/bhz2zJBDrkjFhFeVKtcS" alt="" width="319"><figcaption></figcaption></figure>

**Select regarding:** If the user needs to send bulk emails and also wants to keep a specific record in the Regarding field in the email. They can select the option of ‘Select Regarding’. To view this option, they can follow the steps mentioned below.

<figure><img src="/files/CDHI02BUWst30bnVJgL1" alt=""><figcaption></figcaption></figure>

Now plot the required records to whom the mail has to be sent, and go to Actions to choose the option of ‘Send email’. Here, we have plotted Contacts.

<figure><img src="/files/DcOs6jDlulFl732dmnmM" alt=""><figcaption></figcaption></figure>

Once clicked on ‘Send Email’ from ‘Actions’, user can select the option of ‘Select Regarding,’ and the Account that we plotted earlier will be set by Default within the Regarding field.

<figure><img src="/files/N0yxh9XiPdEWDcx8IMZi" alt="" width="437"><figcaption></figcaption></figure>

{% hint style="info" %}
***This option will be visible only if the map has been opened using map button on a record*****.**
{% endhint %}

**Execute Workflow:** The user can execute any on-demand workflow with this functionality

**Export To Excel:** The user can use this feature to export data from the map to excel. This functionality adhere to CRM security roles, if the user does not have the permission to ‘Export Data to Excel’ in CRM then that user will not be able to export data from Maplytics

**Create Activities:** User can create activities for non-activity Entity records currently selected in “View Data grid.” The user can define the Activity, Subject, Schedule Start date, and Schedule end Time, Duration, Owner(User/Team), and Priority. The activities selected in the respective Entity maps can be seen in the list of activities available to create using the " Create activities " button. By clicking this button, a window will open, and the activities will be created based on the inputs given in the window by the user. The activities created in this manner can be given a dynamic subject name by making a few changes in the Settings. The Activity Subject field helps identify and distinguish various activities and can also be used as a reference during client conversations.

<figure><img src="/files/MFF8LRlAdTXX8IGNDGRU" alt="" width="563"><figcaption></figcaption></figure>

For example, if a user selects the appointment as the activity to be created for 20 records plotted on the map. Now, if they select the Schedule start date to be, let’s say 1st August 2022 at 10 am, and schedule end time to be 5 pm, along with the duration as 1 hour. So the appointments will start getting created for record 1 at 10 am for 1 hour, and record 2 at 11 am for 1 hours and so on till the appointment for record 7 is created for 1 hour till 5 pm. Here it meets the schedule end time, i.e., 5 pm. Now, the rest of the records will be handled in the following days. So the appointments for the next 7 records will get created for the next day, i.e., 2nd August, starting from 10 am, each for an hour till 5 pm. Likewise, the appointment for the rest of the 6 records will get created for the third day, i.e., 3rd August 2022.

The user can also select the required owner or the record’s owner for the appointments being created. If the user has selected ‘Record’s owner’ in the space for owner, the appointments will be assigned with the owner of the respective record, i.e., if Record 1 has user A as the owner, then the appointment for Record 1 will be User A itself.

# Quick Call to Action Buttons

The user can associate quick action buttons. This helps in saving time while switching between screens to take actions. The first few actions are the default actions and cannot be changed by the user. The user can further add actions for creating records for activities and related entities. The default actions are as follows:

&#x20;

· Open Record: Open record directly from this screen to edit any field

· Directions: The record can be set as origin, destination, or just a waypoint

· Change Owner: Assign an owner to the respective record by selecting a user or a team

· Set As Current Location: This pushpin can become the current location for operations.

· Set As POI Location: Can assign it as the point of interest

· Plot Related Record: Plot One-to-Many and Many-to-One Relationships/Related records of a particular record, as shown below:

<figure><img src="/files/r4FBSPr7lEKxOuOzmTLh" alt="" width="462"><figcaption></figcaption></figure>

Select the required relationships from the list and click on the ‘Plot Records’ button. Related records will be plotted as shown below. Related Records can be plotted for multiple records simultaneously.

<figure><img src="/files/l8ebkGihRUPiUZGgD7Yx" alt=""><figcaption></figcaption></figure>

* **Execute Workflow:** The user can execute on-demand workflows on an individual record. When this button is clicked, it will open a window which will list down all the on-demand workflows available for the respective Entity as shown below:

<figure><img src="/files/SRzavssewbHINCPVGcxn" alt="" width="328"><figcaption></figcaption></figure>

The user can customize the rest of the actions according to their requirement. For example, a user can add Email, Add Task, Appointment, Quote, and many more.

The user can define these actions under ‘Advanced Settings’ in Entity Maps.

***Go to*** ***Settings> Entity Map > Select Required Record > Advanced Settings > Tooltip Card Actions**,* or refer to the ‘Setup Entity Map’ section of the Installation Manual for further instructions.

<figure><img src="/files/lZLb7ncdEc22MvbnnsPB" alt="" width="325"><figcaption></figcaption></figure>

· Email: Send email to this record

· Add Task: Add task to this particular record

· Appointment: Schedule an appointment with this record

· Letter: Log physical letters sent to this record

· Phone Call: Get on a call with the records

· Work Order: Create a Work Order related to the plotted entity record

· Follow and Unfollow: When the pushpin is clicked, the respective Tooltip card opens, which has actions on it. The follow/unfollow action is visible among them.

<figure><img src="/files/7ig9solJjlkIGuQxyAYc" alt=""><figcaption></figcaption></figure>

This action enables the Admin and all the users to follow the record.

<figure><img src="/files/ewFxryW5DZMupZanfHrg" alt=""><figcaption></figcaption></figure>

In this way, the activities performed on the record by the users get listed within the timeline. The emails sent, contacts updated, and more can be easily viewed and tracked. With these updates, the admin or the users can understand the activities performed on the record by any of the users or the admin himself.

The same button switches to unfollow if the record is already being followed. With ‘unfollow’, the activities will not be visible on the timeline. This means User A will not be able to check if an Email invite has been shared with the record by User B, and so on.

The principle of follow/unfollow in Maplytics is similar to the one within Dynamics 365 CRM.

The user can define this action under ‘Advance Settings’ in Entity Maps. ***Go to Setting > Entity Map Advance Settings > Tooltip Card Actions*** or refer to the ‘Setup Entity Map’ section of the Installation Manual for further instructions.

<figure><img src="/files/GG5oXQfrQeYWlmFBu2Wz" alt=""><figcaption></figcaption></figure>

**Hover**

The user can hover over Dynamics CRM Records plotted on the map to have a quick glance at their details. The user can have a maximum of 6 different attributes here, apart from the title attribute. Refer to the ‘Setup Entity Map’ section of the Installation Manual for steps to configure attributes on hover.

For example, the user has selected Point A & B as origin & destination respectively for a route, and now clicks on the ‘Add To Route’ option, Point B will remain as the destination and will become Point C. The address of the selected pushpin will become Point B of the route.

&#x20;**Set as Current location:** User can click on any pushpin or anywhere on the map to set the address of the pushpin or the location as the current location, respectively, which can be used for Proximity search.

&#x20;**Set as POI Location:** This option helps the user to set the location for the Point of Interest (POI) searches, like ATMs, restaurants, Airports, etc. Setting the POI location, the user can search for various Geo-tagged & mapped locations around it.

# Proximity Search

User can search for the nearby records around a required location using Proximity Search. This will help the users to understand the proximity of the nearby records in regards to the selected location. There are two different options to perform a Proximity Search:

1. Proximity by Distance&#x20;
2. Proximity by Time.

**Current Location:** User can select any location or a record as the current location. This is used to specify the center point for the Proximity search. By default, this field displays the address stored in the Maplytics personalized record of the logged in user. This is always represented by a green color pushpin on the map and also indicated right next to the current location message box.

# Proximity by Distance

This option will calculate the straight-line distance between the current location and all the points which fall in the proximity parameter as shown below:

<figure><img src="/files/Zr4QmdE56xYKF5i8EJEC" alt=""><figcaption></figcaption></figure>

Enter the radius for the Proximity search. The user can also add decimal values for the radii. The Proximity can be provided either in Miles or Kilometers. The User can also hover over a pushpin and see the distance from the current location.

### Concentric Proximity Search

&#x20;This new addition to Proximity based on Distance allows users to perform up to 3 proximity searches simultaneously. The user needs to enter the distance values separated by a comma (,) and all the points that fall in the defined proximity parameter will be plotted.

<figure><img src="/files/wLpN0lA9RHi6Ps5Nm4Py" alt=""><figcaption></figcaption></figure>

The Concentric proximity zones are represented by different colors for easy visual analysis. The user can also hover over individual proximity zones to highlight the circle and the details in it.

# MapCopilot

MapCopilot (Map + Copilot) is an AI-powered search assistant by Maplytics. It combines the energy of Location Intelligence and Artificial Intelligence to provide advanced, actionable data insights, empowering users across industries. While users can manually operate the Plot Card for tasks like data visualization, radius search, and locating points of interest, MapCopilot automates these efforts, enhancing usability, simplifying workflows, and elevating the overall Maplytics experience, especially for new users or teams under time pressure.

**Plot Records using MapCopilot**&#x20;

MapCopilot can be accessed by clicking on its icon on the Detail Map.

<figure><img src="/files/gsmjbwNQItSrFQAQ7obh" alt=""><figcaption></figcaption></figure>

<figure><img src="/files/uX2IUlTr0w8yNMfKBICG" alt=""><figcaption></figcaption></figure>

Clicking on the icon opens the MapCopilot window with a few pre-defined prompts.

The user can select any of the prompts and get records plotted on the adjacent map.

<figure><img src="/files/YLgPf8MMRToKHCWSvhMm" alt=""><figcaption></figcaption></figure>

In the MapCopilot Panel, users can even type in their own queries/prompts. MapCopilot is an interactive AI assistant, hence, the user can converse with it in continuous prompts.

MapCopilot can plot records and help in categorizing them efficiently with prompts in the user’s natural language. The user need not use the Plot Card to select the required data sources and categories to get the desired results. They can start by giving prompts for plotting All Accounts and categorizing them based on Industry in simple sentences.

<figure><img src="/files/3gIloNn200kwVJ2KqWRH" alt=""><figcaption></figcaption></figure>

The plotted records can be further filtered based on a particular Industry in the next prompt.

**Radius/ Proximity Search in MapCopilot**&#x20;

MapCopilot makes finding records nearby, within a specific travel distance or time, easy. Using Radius/ Proximity Search on a plot card requires the user to provide the current location, select radial/ time values, the datasource, and get the desired entity records plotted. With MapCopilot, all of it can be done with a single prompt.&#x20;

All Accounts within a few miles can be plotted quickly.&#x20;

# Overlay

This helps user to view the Dynamics CRM records along with shapes files and existing territories, and ArcGIS Online feature layers plotted on the map. User can also view the ‘layer menu’ to select or deselect the layers so as to show or hide the same respectively. Using Overlay user will easily be able to understand and analyze the data spread in required shape file regions and territories.

User can select the following two options:

* **Territory –** This option helps the user to select among the list of existing territories.
* **File** **–** This option helps the user to select among the list of shape/excel files. The file should be in a territory in order to be visible in the list.
* **ArcGIS -** This option helps the user to select from among the live feature layers hosted by ArcGIS Online. The file need not be in territory and can be used even with real-time changes.

<figure><img src="/files/p0SvB0SHjWHotfWrn1YN" alt=""><figcaption></figcaption></figure>

Let us consider a Sales and Marketing Manager of a Food and Beverage brand planning on Sales Area expansion. He would want to know the demographic of the Target Group in the new area. Knowing the information about the population, their age groups, spending capacities, buying patterns, sex ratio, etc. would be helpful in categorizing them and designing marketing campaigns for them. The sales processes could then be planned to cater to young adults, the working population, senior citizens, and so on. Strengthening the location data with demographics would help in better decision-making. With the overlay feature, the Manager would be able to-

· View the existing territories within the new area by plotting them over the map and know the headcount in all the territories along with other details

· Import external shape/ excel files, save them in CRM and plot the same over the map to view the territorial data in-depth, or

· Seamlessly integrate the ArcGIS Online feature layers with the Map and view the collated data of the new area

Viewing this organized data spread in the new sales area he might decide on targeting 3 main territories with the right population age group and create marketing and selling plans for the young adults there.
